How to Prepare an RFQ and Compare Supplier Quotations
The goal is to make suppliers quote against the same scope, then compare both price and delivery capability on a like-for-like basis.
1. Define the scope before asking for price
List product specifications, quantities, drawings, standards, packaging, delivery terms and required documents.
2. Use one RFQ structure
Send the same commercial and technical questions to shortlisted suppliers so responses can be compared consistently.
3. Normalize BOQ and quotation data
Check units, quantities, exclusions, alternates, freight assumptions and payment terms before comparing totals.
4. Evaluate more than price
Score technical compliance, lead time, documentation, quality controls, communication and commercial risk before award.
